Reporting earnings payment data given a makeover in the e-service

The Incomes Register has continued improving the reports submitted in the e-service based on customer feedback and user experiences. We have updated the instructions for the earnings payment report and the employer’s separate report, simplified the reporting views, and improved their usability.

The changes will be launched in the e-service in early November. We have also published updated error descriptions and enabled downloading subscribed transcripts in csv format as compressed files.

The occupational class and employment relationship data items to be entered on the same page as absences

The most significant change for data submitters is the new location for entering the occupational class and employment relationship data items on the earnings payment report. In the future, the data items are entered after the income types, on the same page as absence data is reported.

The employment relationship and absence data items are only reported for employed income earners; after the change, the data items form a more coherent whole.

Previously, the employment relationship data item was entered in the income earner data section, which comes before income types. After the change, the report better guides when entering the occupational class is mandatory and when it is a voluntary data item.

In addition, the data items on the earnings payment report have been reorganised, and the most commonly entered data items are now in the upper section of the page. 

Deduction rules have been added to reporting that are used to guide data submitters to only enter the data items required. For example, submitters no longer need to enter the country code and name in the income earner basic details if a Business ID or Finnish personal identity code has been entered as the identifier type.

Most fields to be filled visible simultaneously

The new look makes it easier to browse the earnings payment report and the employer’s separate report compared to the past. You can navigate between the pages of the report freely after you have filled the mandatory fields on the first page. Use the progress bar to navigate.

The layout of information has also been changed. Data items belonging to the same data group are now marked with a frame and usually shown to submitters from the start. Previously, the data items were grouped under accordions that had to be collapsed separately.

In addition, the headlines, the order in which data is entered, and instructions for both reports have been clarified.

Updated error descriptions help with reporting

We have also updated some of the error code descriptions. The updated descriptions give more detailed information on what the submitter should do in case they encounter the error.

The character limit of the error descriptions was also increased. The maximum length is now 450 characters. The updated error descriptions are used in the interface in addition to the e-service.

Download compressed .csv transcripts from the e-service

The Incomes Register has enabled downloading transcript in csv format as zip files from the e-service.

The zip data compression enables quicker downloads of transcripts. The change applies to transcripts subscribed to on 2 November 2022 or after.

If the size of transcript is more than 100 MB, it can only be downloaded in a compressed file format. Read more about the e-service transcripts and downloading them.
