Associations – make sure you are able to continue Incomes Register reporting next year11/12/2020
You can access the Incomes Register with Katso IDs and authorisations up until 30 April 2021. Despite the extra time, we strongly recommend that you begin using Suomi.fi authorisations and start logging in with your online banking codes, a mobile certificate or a certificate card as soon as possible.
The use of the Incomes Register’s e-service with Katso IDs and Katso authorisations will no longer be possible in 2021.
If an association pays wages, fees or reimbursements of expenses, for example, it must report data on such payments to the Incomes Register. Make sure that the person taking care of Incomes Register reporting has valid authorisation also after 1 January 2021.
Make sure that the necessary decisions concerning the changes of authorisations are made in the association's board meeting. If changes are made concerning official roles or authorised signatories, it is recommended that a registered association report the changes to the Register of Associations. Using the e-service is easier when this information is up to date in the Register of Associations.
Who can act on behalf of an association in the Incomes Register?
An association's Chairman of the Board or authorised signatory who is registered in the Register of Associations and who has the right to represent the association on their own can act in the Incomes Register's e-service on behalf of the association without a separate authorisation. These official roles are adequate authorisations for the purposes of the Incomes Register's e-service.
Other representatives of the association need a Suomi.fi authorisation to use the Incomes Register's e-service on behalf of the association. An individual who has the right to represent the association on their own and who is registered in the Register of Associations can grant authorisations on behalf of the association. They can grant authorisations independently in the Suomi.fi e-Authorisations service. The authorisation codes for accessing the Incomes Register are ‘Reporting earnings payment data’ and ‘Browsing earnings payment data’.
If, according to the association's the signatory rule, the association must be represented jointly by two or more people or the authorised signatory has not been registered in the Register of Associations, authorisations must be granted using an authorisation application.
If necessary, check the information in the Register of Associations
If the association's authorised signatory has the right to represent the association on their own and the right has been registered in the Register of Association, but they still cannot grant authorisations in the Suomi.fi e-Authorisations service, the authorised signatory must send a request for verification to the Register of Associations using the Finnish Patent and Registration Office’s feedback form.
On the form, you must select Associations. Enter "Cannot grant Suomi.fi authorisations" in the text field and fill in the following details:
- your association’s Business ID
- the name of the person who cannot grant authorisations
- telephone number and email address for responses.
